Welcome to Akureyri
Important information for Buyers regarding registration and preparation.
Registration fees for Buyers
Early bird fee: ISK 121.000
(approx. EUR 829) – per company, per person
Late fee: ISK 151.000
(approx. EUR 1035) – per company, per person
Payment is settled in ISK – Icelandic krona. The price listed in Euros is only indicative and is based on exchange rate per 02.05.25. View currency converter.
Included in the Buyers fee:
- Participation in Vestnorden and B2B meetings
- Get-together event
- Farewell dinner
- Lunch, coffee, and refreshments during Vestnorden days (2)
- Participation at the country presentations
- Transport to/from event in Akureyri, when necessary
- Transfer to/from Akureyri airport to hotel in Akureyri
- Accommodation for 3 nights in Akureyri (29 September – 2 October 2025)
- Flights to/from Iceland / Akureyri with only direct hub of Icelandair or Play Airline without airport taxes, which are to be paid by the flight traveller / Buyer.
Who can register as a Buyer?
The term Buyers includes tour operators and travel agencies. The Buyers participate at a reduced price compared to the actual cost. The price difference is cross subsidised by the Suppliers.
It is mandatory for Buyers to have appointments and therefore the appointment lists cannot be blocked.

Registration deadline for early bird is 29 June 2025 (midnight). From 30 June the registration fee will increase.

Please note
The event may sell out prior to the registration deadline. There is limited capacity for Vestnorden 2025 and registration is based on first come first served basis.
B2B
The appointments system will open approximately 3 - 4 weeks before Vestnorden starts.
Payment
Payment is done upon registration through a secured payment site with credit card. Accepted credit cards are VISA and MasterCard.
Cancellation policy
- Free cancellation until 27 June
- Between 27 June and 27 August 50% of the total amount will be refunded.
- After 27 August – NO refund.
Cancellation can only be done by email to vestnorden2025@sena.is.
Name change
A name change is free of charge until 29 August 2025. After that, the cost of a name change is ISK 14.500 (approx EUR 100).

Who can register as an OTA?
Online travel agency (OTA) is a web-based marketplace aimed at consumers to research and book travel products and services, including hotels, flights, cars, tours, cruises, activities and more, directly with travel suppliers.
Wholesaler
A wholesaler is a company that sources, buys or stores products and services from multiple suppliers and sells them to other businesses such as retailers, merchants or other wholesalers.
Online Travel Agencies (OTAs) and wholesalers cannot sign up for pre- and post-tours.
Buyers
Flight Information and Airport Transport
Flight to and from Iceland and to/from Akureyri (if needed) with only direct hubs with Icelandair or Play is included in the registration fee. After you have submitted your registration and completed your payment you will receive confirmation. You need to have this confirmation when you book the flight.

- To book a flight with Play please e-mail: agents@flyplay.com.
In subject write: Vestnorden flights and the number of your confirmation to Vestnorden.
Please note: Flight bookings must be made before 5 August 2023.
If flight is booked between 6 August and 5 September there is an extra fee of ISK 20.000 (approx. EUR 137). If booked later than 5 September you have to contact vestnorden2025@sena.is for availability and prices.
Please NOTE: Airport taxes are NOT included in the registration fee and are therefore to be paid by the participant directly to the airline. Change Fee on tickets is according to fare rules. A fare difference may also be applied based on availability. The tickets are to be used in conjunction with the Vestnorden in Iceland 2025 between the period 25 September to 4 October 2025.

Buyer's Accommodation
Three night’s accommodation is included in the Buyers fee. Buyers will be accommodated in one of the following hotels. It will be allocated on a first come, first served basis. You select your desired hotel during the registration process.

Frequently Asked Questions
We have compiled the answers to the most commonly asked questions regarding your trip to Iceland for Vestnorden.
You are welcome to come earlier or stay longer, but you will have to cover your own accommodation outside the dates of the event, and you will also have to book and pay for your flight tickets outside the fixed dates for Vestnorden.

Yes, you need to arrange the extra accommodation yourself. There is only a three-night accommodation included in the Buyers fee.
You can book flights between the period of 25 September to 4 October 2025.
Unfortunately, connecting flights are not covered by your Vestnorden registration. It is with only direct hubs with Icelandair and Play.
The hotel rooms are based on single occupancy. If traveling with a family member or a friend not attending Vestnorden, a sub charge for the hotel room will apply.
You are welcome to bring family members, at your own cost, but they can not participate in the Vestnorden. Please do your own arrangements for flights and accommodation.
The hotel accommodation is for the period between 29 September to 2 October. Three nights in total.
All payments must be done by credit or debit card. If you need to make a payment by bank transfer, please contact vestnorden2025@sena.is.
Credit cards are charged at the time of registration.

No there is no limitation but please note that everyone needs to pay the same fee.
